Choose the right tool
- Arrow: point to one exact control, value, or area.
- Shape: frame a larger region without hiding it.
- Highlight: emphasize text or a narrow interface area.
- Text: add a concise instruction or result.
- Numbered steps: show an ordered path through several actions.
- Pen: make a quick freehand mark when precision is not required.
Build a readable hierarchy
Use one dominant color and repeat it consistently. Make the most important annotation visually strongest, then keep supporting marks smaller or quieter.
Write useful callouts
Prefer direct instructions such as “Choose Export” or “Confirm this value.” Avoid repeating labels that are already legible in the screenshot.
Before you shareZoom out and check whether the sequence is obvious at normal viewing size. Remove annotations that do not help the viewer act.
